Executive Assistant – Zielona Gora, Poland

We are looking for an experienced Executive Assistant who will fully support our 2 Top Executives. You will be the ADB management’s first point of contact with internal and external stakeholders. You will plan their meetings and take minutes, organize trips, and assist them in their daily work.

Being the right-hand of top management is exciting, but it can also be quite challenging. Do you take up the gauntlet?

Location: Zielona Gora, Poland

Full-time or part-time (8 or 6 hours a day)

 

What will you do?

You will provide full support to ensure the Top 2 Executives can efficiently accomplish key tasks. It means you will:

  • Act as a right hand to the CEO for daily operations such as drafting letters and e-mails, monitoring important deadlines and follow-up actions,
  • Manage business schedules, including daily administration and prioritization of meetings,
  • Ensure adequate preparation for the meetings and all support activities surrounding such meetings are properly arranged,
  • Holistic trip organization, from accommodation choice, ticket purchase, local logistics, managing agendas, and communication flow to filing expense claims and settlements,
  • Care about filing system – keeping records of various topics as required by management,
  • Arrange various matters as required by supervisors, on their behalf, with internal and external partners,
  • Collect data, and prepare reports, sheets, presentations, and other materials for supervisors’ needs,
  • Assist in other, ad-hoc tasks and projects.

 

What’s important for us?

  • Knowledge and experience – For a good start in ADB in this position, you need:
    • Proven working experience in providing administrative support for senior-level management,
    • Experience in working in an international environment,
    • Higher education in Administration or related,
    • Proficient knowledge of Microsoft 365 (especially Outlook, Excel, Word, PowerPoint, and OneDrive),
    • Ability to take notes and summaries,
    • Fluency in Polish and English,
  • Excellent organizational skills, ownership mindset, and problem-solving attitude – in your daily work you will encounter many twists and turns, tight deadlines, and critical tasks influencing the company. Let’s use your superpowers to harness them and make top management work easier,
  • Perfect communication skills (oral & writing) – you will represent ADB and top management and work with internal and external, stakeholders, so communication skills are crucial in this role,

Additional skills that will be useful for this position:

  • Experience in a similar position in an international organization,
  • Good understanding of business processes,
  • Good knowledge of French.
